# Two-Factor Authentication (2FA)

Revela is introducing Two-Factor Authentication (2FA), a mandatory security requirement for property management company employees logging into Revela. Once 2FA is enabled on your account, signing in will require both your password and a time-based code from an authenticator app on your phone. This adds a second layer of protection to your account so that a password alone is no longer enough to log in.

### **Who This Applies To**

Two-Factor Authentication applies to property manager and organization administrator accounts logging into the Revela platform. It does not apply to tenant, resident, or member logins.

### **Why Two-Factor Authentication Is Being Added**

Two-factor authentication has become a standard security expectation across banking and other sensitive platforms, and property management software is increasingly expected to offer the same level of protection. This is especially important because much of your team's day-to-day operations, including sensitive financial activity like payment processing, happens directly inside Revela.

### **Setting Up Two-Factor Authentication**

The first time you log in after 2FA is enabled on your account, you'll be walked through a short setup process before you can continue:

1. Open an authenticator app on your phone. Revela's 2FA is built on the same standard used by most authenticator apps, so any app you already use and trust will work. **Google Authenticator** is Revela's recommended app if you don't already have one installed.
2. Scan the QR code shown on your screen with your authenticator app to link your Revela account to it.
3. Enter the code your authenticator app generates to confirm the setup was successful.
4. Download your backup codes when prompted. These are provided as a text file and give you a way back into your account if you ever lose access to your authenticator app.

Once setup is complete, you'll be taken to your Revela account as usual.

**Note:** Please do not attempt to scan the QR code shown on this article. A live QR code will generate within your instance once you attempt to login.

### **Logging In After Setup**

Once your account is set up, each login will prompt you for a code from your authenticator app after you enter your password. Enter the current code shown in your app to finish signing in.

**Note:** For security, each code can only be used once. If you try to reuse the same code, even within the window it's normally valid for, Revela won't accept it.

### **Backup Codes**

When you first set up 2FA, Revela generates eight backup codes for you to download and store somewhere safe. Each backup code can only be used once. If you ever lose access to your phone or authenticator app, you can enter a backup code instead of a regular authentication code to get back into your account. We recommend printing backup codes on physical paper and/or storing them via encrypted digital storage to ensure your codes remain protected.

**Note:** If you're running low on remaining codes, you can generate a new set from Account Settings (see below) rather than waiting until you're locked out.

### **Managing Your Authenticator from Account Settings**

If you get a new phone but still have access to your Revela account (for example, you're already logged in, or you still have your old phone available), you can set up 2FA on your new device yourself:

1. Navigate to **Setup \> Organization Settings \> Account Settings**.
2. Select the option to reset your authenticator.
3. Follow the same QR code steps used during initial setup to link your new device.

From this same area, you can also generate a new set of backup codes at any time.

### **If You're Completely Locked Out**

If you lose access to both your authenticator app and your backup codes, you won't be able to reset your own 2FA setup. From the login screen, select **Contact Support** to submit a request to Revela Support. Because you'll still need to enter your email address to reach this point, Revela Support will be able to identify your account and verify your identity before resetting your 2FA setup and issuing you a new one-time recovery code, which will let you set up 2FA again from scratch on your new device.

### **Login Attempt Limits**

To protect against repeated login attempts, Revela locks an account for 15 minutes after 10 failed attempts. This limit applies to your password, your authenticator code, and your backup code entry screens.

### **Tips & Best Practices**

- Download and securely store your backup codes as soon as you complete setup. They're the fastest way back into your account if you lose your phone, and using one is much quicker than going through Support.
- If you're getting a new phone, reset your authenticator from Account Settings while you still have access to your old device or an active session, rather than waiting until you've lost access entirely.
- Any authenticator app that supports standard time-based codes will work with Revela, so your team doesn't need to standardize on one specific app if they already use something else, like Duo.
- Let your team know ahead of time that they'll need an authenticator app installed before their next login, so setup doesn't catch anyone off guard.
