Onboarding Form Configuration

Overview

  • Purpose:
    This article provides a step-by-step guide to the updated onboarding process in Revela, so PM or Greek life organizations can collect custom info, send documents for signatures and bill the members/tenants all through one form

  • Target Audience:
     Admins, and Chapter Advisors who support onboarding and manage member assignments.

    Step-by-Step Instructions

    1. Setting Up a New Onboarding Form

    • Navigate to Onboarding → Create New (or copy existing one if you already have one, if it is your first time using onboarding form, you will need to create one from the scratch)

    • Name the onboarding form.

    • Select the portfolio (One portfolio per form, but you may choose as many properties as you’d like).

    • Optionally, assign it to specific properties or leave blank to include all.

    • Add an introductory message for greeting and/or instructions if needed .


    2. Configuring Modules & Pages

    Each module = one page in the onboarding flow.



 

  • Membership Information: Collects custom details (text, dropdowns, required/optional questions). Responses auto-populate tenant profile info which could also populate on the Member Directory Report

  • Guarantor/Guardian: Collects guarantor info, auto-populates if already on file. Prevents self-entry or duplicate members with same email address.

    • Please note that a tenant/member will still be able to enter the same full name as themselves using a different email address.

 

  • Membership Agreement (only select if sending docs for signature to members only).
    • Please note that in the dropdown, only Agreement type document templates 

  • Lease Agreement: Add leases for signature (tenant, guarantor, counter-signer can be all optional if select No on the required signature request).

    • You can now choose counter-signer from your admin members

 

  • Lease Details & Charges:

    • Define lease dates.

    • Add deposits, rent, or custom charges.

    • Choose due date or Net D (days after form completion).

    • New Feature: Group charges into one invoice with multiple line items.

 


3. Assigning Members

  • From the assignment page:

    • Search or filter by tags (e.g., “Out of House”).

    • Select members and click Assign.

Membership tags are reporting/filters only (not action triggers).



4. Managing Assigned Members

  • Click “Assigned” to view all assigned members.

  • Page displays:

    • Pending/completed status.

    • Associated property.

    • Assignment date.

  • Actions available:

    • Filter & search.

Unassign or assign directly from this list.



5. Managing Properties


Clicking Properties shows which properties the onboarding is linked to.


 
  • Onboarding forms cannot be edited once members are assigned (to ensure consistency) including the name.

  • If updates are needed:

    • Use the Copy function.

    • Reassign members to the updated form.


6. Auto-Assignment Option

  • On the final setup page, toggle Auto-Assignment by property.

  • When enabled:

    • Any new member added to the property will be automatically assigned the form.

    • Indicator: ⚡ + A icon = Auto-assignment is active.



7. Copying & Managing Onboarding Forms

  • Copy existing forms to reuse configurations.

  • Portfolios cannot be changed when copied, but properties can.

  • Editing properties clears out Membership/Lease Agreement modules (charges remain intact).

  • Actions available:

    • Archive

    • Copy

    • Reassign members

    • Manage auto-assignment

 


8. Tenant-Side Experience

  • Admins can see onboarding status from their profile or by going to Actions -> Masquerade

    • ✅ Completed | ⏳ Pending on the lower left corner

 

  • Form flow:

    • One page per module.

    • Must use Next/Back buttons when trying to shift to next page (sidebar navigation removed).

 

  • Review Page before final submission: tenants can go back or clear/edit entries.

  • Mobile UX: Tenants may need to scroll to reach Next. Performance varies by device and service.


Best Practices & Tips

  • Always copy instead of editing active forms.

  • Keep field labels short & clear (e.g., “Favorite Color” to avoid over cluttering of data on reporting).

  • Encourage tenants to update information yearly.

  • Use tags for quick bulk assignments.


Common Issues & Troubleshooting

  • Issue 1: Tenant can’t find Next button.

    • Solution: Remind them to scroll down to the bottom or try desktop.

  • Issue 2: Duplicate guarantor/member entries.

    • Solution: Only new guarantor records allowed.

  • Issue 3: Wrong charges applied.

    • Solution: Double-check presets and due dates before publishing as it will bill the member instantly after they finish filling out the form
