Smart Tasks are Revela's automated system for flagging items that need attention and, where appropriate, use Revela AI to help you act on them. SmartTasks focused on the listings and leasing workflow help you catch time-sensitive leasing opportunities before they're lost.

Every Smart Task follows the same three-tier model:

  • It can act as an alert (informs you something needs attention)
  • It can act as a recommendation (suggests a specific action you can accept or decline)
  • It can take an action on your behalf (and carries out the best recommendation of the task automatically)

Note: New Smart Tasks are typically introduced as recommendations rather than full actions, especially when the task involves communicating with a prospect or resident directly. This gives you the chance to review and build confidence in the AI-suggested outcome before deciding whether to promote it to a fully automated action.

Detects units that are currently vacant or becoming vacant within 14 days, so you can list, adjust pricing, or start outreach before the gap costs you rent. Runs daily.

Alert Only - Currently only available as a Smart Task Alert. Revela AI will flag when a property is vacant or soon-to-be vacant so you verify you’re prepped to reduce downtime between tenants.

Unanswered Prospect Inquiries

A recommendation that flags prospect inquiries with no response in the past 24 hours and suggests a follow-up message, so leads don't go cold while they wait to hear back. Runs daily.

Recommendation - Revela AI will identify prospects, recommend follow ups, and draft messages for your review. All you need to do is hit send.

Incomplete Application Follow-Up

Flags rental applications with no activity for more than 24 hours and suggests a follow-up to the applicant, helping you recover applications that might otherwise stall out. Runs daily.

Listings with Low Photo Count

Alerts you to active listings with fewer than 5 photos (excluding new, leased, inactive, and off-market listings). Pair this with the redesigned photo gallery above, more photos means a stronger first impression for prospects. Runs daily.

Alert Only - Since Revela AI won’t have property photos to pull into the listing, this SmartTask is only available as an Alert

Missing Important Fields

Alerts you when a listing is missing key required information, like photos, square footage, amenities, or valid pricing. A quick check here helps keep every listing accurate and application-ready. Runs daily.

Recommendation - Revela AI will detect when a listing may be missing criterial information and make suggested updates. This allows you to review the updates, and approve or decline them. If updates are approved, Revela AI does the work for you and updates the listing.

Listings with No Activity

Recommends improvements, like amenity or description updates, for listings that have been on the market a while with low engagement. Runs weekly.

Recommendation - Revela AI will surface and recommend potential enhancements to make the listing more desirable. If approved, Revela AI will automatically update the listing to reflect the recommended changes.

  • Incorporate review of Smart Tasks as part of your daily operations within Revela to stay on top of items that require your attention.
  • Because these Smart Tasks start as recommendations rather than automatic actions, review each one before accepting. This is your opportunity to confirm the AI-drafted message reflects your voice and the specifics of the situation before it reaches a prospect or resident.
  • Declining a recommendation doesn't turn off the Smart Task; it will continue to flag new qualifying items going forward.
  • If your team consistently accepts a given Smart Task's recommendations without edits, that may be a sign it's ready to be promoted to a fully automated action.
