Creating Charges and Credits in Bulk
There may be times when charges or credits need to be applied to a large number of tenant ledgers at once. One of the most efficient ways to accomplish this is through the bulk action process. To add charges or credits in bulk, navigate to Leasing > Agreements and follow the steps below:
- Select the property you would like to invoice and/or credit.
- When you select a property, all current user agreements associated with that property will appear, allowing you to easily review the residents within a specific property.

- Click the checkbox at the top of the list to select all records on the current page. If additional records exist on other pages, click “Select All” to include all remaining records.

- Once the desired group of users has been selected, click the Add Charge or Add Credit button to apply a charge or credit to all selected tenant ledgers in bulk.
- On the invoice creation workflow, you will enter the following information:
- The invoice description
- Invoice notification - This notifies the resident that an invoice has been created and posted to their account.
- Notification options include the date of creation, the post date of the invoice, or no notification at all.
- Charge Preset - This is the GL account the invoice will be charged to. If the GL account you want to charge an invoice to is not available for selection, you can manually select a GL by selecting Custom, which will allow you to select a specific Receivable account. - Line Item Description
- Line Item Amount
- Invoice Post Date
- Invoice Due Date
- Invoice Attachments, if applicable
- On the credit creation workflow, you will enter the following information:
- Credit Preset
- Account - This will dynamically populate once a credit preset is selected.
- Date
- Description
- Amount
- Once all required information has been entered, click the Submit button to bulk bill users.
Notes
- Charges and credits cannot be created in bulk across properties or portfolios that do not share the same Chart of Accounts (COA). When adding charges or credits in bulk, please ensure that only properties or portfolios with the same COA are selected.
